Make the first hotel the first decision
If Madinah is your first stop, build the arrival request around the accommodation you are actually using. Record the hotel name, address and booking date, then check that the room reservation covers your arrival. Transport and hotel check-in are separate arrangements: an airport transfer cannot confirm early room access.
Use your flight itinerary as the source for the arrival date and time. Keep the flight number as well as the airline name so that a change of schedule can be matched to the correct journey.
Separate arrival from onward travel
A Madinah arrival and a later departure for Makkah are two different requests. Give each a date, pickup location and destination. If the second journey is undecided, leave it provisional. An apparently tidy itinerary can be misleading when one hotel or travel day has not yet been booked.
For a party splitting between hotels, state which travellers and bags go to each address. Extra destinations and waiting requirements should be included in the request from the start, then checked against the written quote.
Describe what a comfortable collection means for you
Tell us whether the party needs time to regroup after separate flights, whether anyone has difficulty walking, and what luggage will be carried. Describe the practical requirement without sending medical records. Equipment, assistance and pickup arrangements must be confirmed for the particular booking.
Keep your lead traveller contact available after landing. If a family member outside Saudi Arabia is organising the journey, distinguish that booking contact from the person meeting the driver. That avoids an update reaching someone who cannot act on it.
Review the complete request
Before accepting a future quote, check the airport, destination, party size, bags and local travel date. Ask for the meeting process, waiting terms and change conditions in the booking details. Do not assume an onward transfer or return journey is included because it appears in your wider travel plan.
