Start with the journey you have booked

A useful transport plan begins with your flights and accommodation, rather than a list of cities. Put your arrival airport, first hotel and departure airport in one place. Then add the journeys between them. This makes it easier to spot a missing transfer before it becomes an arrival-day problem.

Pilgrim Taxi is being developed for travellers planning from Europe and from other countries worldwide. You do not need to begin your journey in the UK. The first planning decision is simply where you land: Madinah or Jeddah.

Give every leg its own details

Use the local arrival date and time printed on your flight itinerary. For each later journey, record the collection address, destination and preferred date. A flight that leaves Europe in the evening may arrive in Saudi Arabia on the following calendar day; copying the departure date into an arrival request can change the booking you actually need.

Keep a hotel name and a map location together. If your accommodation is not confirmed, label it as provisional rather than selecting a nearby hotel to complete a form. The final address is needed before the pickup or drop-off arrangement can be agreed.

Count people and bags separately

List every traveller, including children, alongside large suitcases, cabin bags and bulky items. A seat count alone does not describe the space your party needs. If you will bring a folding wheelchair or pushchair, include its folded dimensions where possible. Any assistance or child-seat request needs explicit confirmation; adding a note does not reserve equipment.

When different family members arrive on different flights, keep those arrival details separate. A shared hotel does not necessarily mean a shared airport collection will suit everyone.

Keep the next step simple

Review the brief as a group and choose one lead contact. Agree who can receive updates while travelling and keep that contact number in international format. Before payment, check the quoted journey details, inclusions and change terms together.
