Transfer the decisions, not just the inbox
If another relative takes over organising the trip, give them a current list of journeys and their status. Identify what is confirmed, what is awaiting a reply and what still needs a decision. Forwarding a long conversation without that summary makes the new organiser reconstruct the plan from fragments.
Explain why any unresolved request exists. For example, a vehicle question may be waiting for folded-equipment dimensions, while a destination change may still need the hotel’s confirmation. Knowing the missing input helps the new organiser continue the work instead of repeating the original enquiry.
Keep authority separate from the family handover
Changing responsibility within the family does not necessarily change who may manage a booking account or authorise an amendment. Follow the provider’s actual process for any required contact or account update. Do not circulate passwords as a substitute for establishing the appropriate arrangement.
Keep the lead traveller informed about who is now coordinating. Otherwise, practical questions may continue to reach the original organiser while the replacement is making decisions from incomplete information. Agree a simple point at which the handover becomes effective.
Review the first action together
Where possible, have the new organiser check the next outstanding item with the person handing over. Confirm the relevant reference and the exact question before sending another message. This can catch an earlier response that arrived but was never added to the family plan.
After the handover, retain one active working record. The original organiser can keep an archive without continuing to issue separate instructions. If they later receive an update, it should reach the new coordinator before another response creates conflicting requests.
A successful handover preserves both the booking facts and the reasons behind unfinished decisions. That gives the replacement organiser a clear starting point while leaving the travellers with one coherent source of practical information.
