Share the itinerary, not the assumptions
Friends can plan the same trip while booking transport independently. Keep each provider’s arrangements separate, even when the flights and hotels match. A common destination does not mean the bookings share a vehicle, waiting policy or collection process.
Exchange the relevant travel details so that everyone understands where the groups expect to meet. Avoid promising that one booking can accommodate the other party if plans change. Any addition needs to be assessed by the provider responsible for that journey.
Choose the reunion point carefully
If the groups want to meet after arriving, agree a destination that fits their actual accommodation or other confirmed plans. Do not make one driver responsible for coordinating another service unless that arrangement has been explicitly accepted.
If one group is delayed, use the contact process for its own booking. The other group should review its choices under its own agreement rather than assuming that separate reservations automatically wait for one another. Keep informal friendship plans distinct from the services purchased.
Keep bags and passengers with the right request
Before departure, check that no shared case or traveller has been counted only in the other group’s request. If you decide to rearrange who travels together, have the affected bookings reviewed. A change within the friendship group still changes the requirements each provider was asked to meet.
Use separate references when discussing the journeys, and avoid forwarding another party’s personal booking information more widely than necessary. A simple group summary can identify meeting intentions without exposing everyone’s full records.
Planning together works best when the common itinerary and the independent agreements are both clear. That lets friends coordinate their pilgrimage while respecting the actual scope of each booking, rather than turning a social plan into an unconfirmed transport commitment.
