Make the important distinction visible
Some parts of a transport request are preferences; others determine whether the proposed service is suitable. Describe that distinction in plain language. βWe would prefer extra spaceβ is different from βThis folded item must travel with us.β The planning team needs to know which details require explicit agreement.
Avoid putting every request into a single sentence such as βcomfortable car with everything neededβ. List the practical requirements and explain the relevant dimensions or arrangements. You do not need to disclose private medical history to describe difficulty walking a long distance or the need to carry a particular item.
Ask for an answer to the actual requirement
When reviewing a quote, look for confirmation of the details that matter to the party. A vehicle category or a friendly acknowledgement does not necessarily answer a question about equipment, access or an additional stop. Ask a focused follow-up if the requirement is missing.
For example: βCan the proposed arrangement accommodate the folded dimensions we supplied?β This is clearer than repeating βsuitable vehicle pleaseβ. If the answer is conditional, keep the condition attached to the booking rather than shortening it to a simple yes in the family plan.
Keep preferences flexible without hiding needs
There may be several acceptable ways to meet a requirement. Explain the outcome you need, then assess the arrangement offered. At the same time, do not let the wish to finish a booking turn a necessary condition into an unmentioned assumption.
If the partyβs needs change, request a review before travel. The fact that an earlier journey was suitable does not establish that a different group, item or destination will fit the same arrangement.
A good request makes it easy to separate what is essential, what would be welcome and what has been confirmed. That distinction helps both the traveller and the provider avoid promising more than the written agreement actually contains.
