Use dates for the action they describe
A hotel reservation is organised around accommodation dates; a transport request is organised around the time a journey takes place. They are connected, but they are not interchangeable. Write the collection date and local time explicitly instead of copying a hotel arrival label into the transport form.
This is particularly useful when the party expects to arrive late, leave early or spend part of the night travelling. A phrase such as “our first night” may describe the family’s experience while leaving the actual calendar date unclear.
Ask the property the accommodation question
If you are unsure whether a room will be available on arrival, ask the hotel or accommodation provider directly. Keep that answer separate from the transport request. A vehicle booking cannot establish check-in permission, luggage storage or room access at an unusual time.
Likewise, confirm any late departure or storage arrangement with the property rather than assuming that a later airport collection extends the room booking. These are different services, and clarity with one provider does not create an agreement with the other.
Build a short boundary check
For each hotel stay, write the journey that brings you there and the journey that takes you away. Check those dates against the accommodation record. If a gap or overlap appears, identify which arrangement needs changing rather than editing all the dates until the table looks tidy.
When an amendment is made, retain the relevant confirmation and update the travelling party. A family organiser should be able to answer both “When do we travel?” and “Which accommodation period is booked?” without using one as a substitute for the other.
The purpose of this check is not to give hotel policy advice. It is to keep two linked bookings accurate. That becomes especially valuable when relatives are coordinating the trip from different countries or sharing only parts of the itinerary.
