One event can affect several agreements
When a flight is cancelled or replaced, the immediate task is to understand the airline’s new arrangement. The transport booking is a separate record. Do not assume that an airline action also cancels, refunds or reschedules a road journey you booked elsewhere.
Create a short list of the affected services: arrival transfer, accommodation, onward journey and departure transfer where relevant. Beside each, record whether a change has been requested and whether a response has been received. This prevents one successful amendment from making the whole trip appear settled.
Send a focused transport update
Use the existing booking reference and state the original journey alongside the revised information. If no replacement flight has been chosen, say that clearly. Ask what options apply under the actual booking terms instead of guessing that the service can be moved without a change in cost.
Keep the response in full, including any action required from you. A request for more information is not a completed amendment. If a deadline is stated by the provider, record it accurately rather than inventing a standard period from another booking.
Reconcile the plan once the flight is settled
After choosing the revised air journey, compare the local arrival date, airport and destination with the transport record. Review later legs too: a shorter stay may move an onward collection, while a different arrival airport may change the first road journey entirely.
Tell the travelling contact which arrangements are confirmed and which remain pending. Use those words consistently so that the family can distinguish an intention from a reservation. Keep evidence of the final agreement rather than relying on a chain of informal summaries.
