Turn a number into a sentence
Before submitting an arrival request, say the date and time in a full sentence: “We arrive in Madinah on Tuesday 12 May at 01:20 local time.” This is an illustrative example, not a suggested travel date. Reading the information aloud makes a calendar mismatch easier to notice than checking a row of digits in silence.
The departure day and arrival day may differ. Use the arrival information shown on your itinerary for the Saudi airport, rather than the day you leave home. If several people are helping to book, ask the traveller to read the arrival line while the organiser compares it with the transport form.
Keep the hotel date alongside it
A correct airport arrival date does not prove that the hotel room is reserved for the period you expect. Put the accommodation dates next to the flight details and resolve any uncertainty directly with the property. Do not solve an unclear room arrangement by moving the transport date in a form.
For example, an organiser may describe a late-night arrival as “Monday night” while the itinerary says early Tuesday. Both people may understand the conversation, but a booking system needs a precise calendar date. Use that date consistently in the transport request, hotel discussion and family plan.
Make corrections visible
If you discover a mistake before booking, update the draft and ask the lead traveller to check it again. If a reservation already exists, request an amendment through its confirmed channel. Editing a screenshot or your private notes does not change the supplier’s record.
Keep the amended confirmation and retire the earlier version from the group’s working plan. A useful final message contains the corrected airport, date and time together, so that a single changed number is not separated from its context.
The aim is not to build a complicated time-zone spreadsheet. It is to make the intended arrival unmistakable to the person organising the collection and the person who will be there.
