You can get a useful Umrah transfer quote before the hotel is booked by searching with a representative hotel in the right area, but you should not pay for the transfer until the real hotel is confirmed. This guide is for families who are putting an Umrah trip together in stages, often with one relative handling flights, another the hotel and a third the transport. It explains why the exact destination matters, how to choose a sensible stand-in hotel for an estimate, what you can settle before the hotel is fixed, what has to wait, what happens if the hotel changes after you have paid, and how to share an estimate without anyone mistaking it for a booking.
An Umrah transfer quote before the hotel is booked: search now, pay later
Running a search on Pilgrim Taxi does not commit you to anything. You choose a pickup, a destination, a date and time, the passengers and the bags, and the results show the vehicle classes that fit, each with a price. Nothing is booked until you go through checkout and pay, and even then the journey is a provisional request until its status reads Confirmed.
That means an early search is a planning tool. It shows which vehicle classes your party and luggage need, and it gives you a realistic figure for budgeting. Why the exact destination matters
Each Pilgrim Taxi journey is defined by one pickup place and one destination. The route between them, the distance and therefore the price all follow from those two points. Two hotels in the same city are two different destinations, even if both are described as “near the Haram”.
The differences are real, even over short distances. In our route checks, the drive from Jeddah Airport to central Makkah came out at about 94 to 97 km depending on the exact point, and the Hilton Jabal Omar to Jeddah Airport was about 91 km. The Clock Tower area and the Hilton Jabal Omar are about 1.5 km apart by road. Road distances also differ by direction, because of one-way systems and junctions.
For a hotel in the central area, the difference between one property and another may be small. For a hotel further out, or for a property in a different district altogether, the route can change noticeably. That is why an estimate based on one hotel should be treated as indicative for another, not as the same quote.
Choosing a representative hotel for an estimate
When the hotel is not yet booked, the aim is to pick a stand-in that sits roughly where you expect to stay. The planner offers a short list of popular locations, which are convenient for this:
- Makkah: Clock Royal Tower / Fairmont Hotel, and Hilton Hotel & Convention Jabal Omar.
- Madinah: Madinah Hilton.
- Airports: King Abdulaziz International Airport in Jeddah, and Madinah Airport.
Any other place can be typed into the search, but then you must check the route summary to make sure the pin sits where you expect.

If you are choosing between hotels in different areas, run a search for each. The comparison can be a small factor in the hotel decision itself, especially if the party has several journeys to make from that hotel during the stay.
What you can plan before the hotel is fixed
A surprising amount of the transport plan does not depend on the exact hotel. You can settle these early:
The journeys you will need. List each leg: airport to first city, any travel between Makkah and Madinah, and the final journey to the departure airport. Remember that each leg is a separate journey with its own time, and a there-and-back trip is two journeys.
The party and the luggage. Count adults, children and infants, and the large and cabin bags. This decides the vehicle class, and it will not change when the hotel does. Four adults with four large suitcases were offered only a Premium SUV and larger in a live check; five adults with five large cases were offered only seven-seat vehicles and larger.
Special requirements. Child seats, boosters and a wheelchair requirement can be added in the search and are then confirmed for the vehicle. Knowing these early avoids surprises in the results.
The flight details. Once flights are booked, note the arrival airport, the Saudi local date and time, and the flight number. The hotel does not affect any of these.
Currency and payment. Pilgrim Taxi shows prices in 13 display currencies and takes full payment online. Decide who in the family will pay, so there is no delay once the hotel is confirmed.

Estimating the whole trip, not only the arrival
The airport arrival is the journey families usually think about first, but the hotel affects every leg that starts or ends there. For a typical Umrah trip that is three or four journeys, not one.
- Arrival. Airport to the first hotel. In our route checks, Jeddah Airport to central Makkah was about 94 to 97 km, and Madinah Airport to the Madinah Hilton about 20 km.
- Between the cities. Makkah hotel to Madinah hotel, or the reverse. Makkah to Madinah was about 439 km by road. Both ends of this journey are hotels, so it depends on two hotel decisions, not one.
- Departure. Last hotel to the departure airport. From the Hilton Jabal Omar to Jeddah Airport was about 91 km.
- Any outings you plan from the hotel, which also start and end at that address.
When you estimate with stand-in hotels, run a search for each of these journeys, not only the arrival. The total gives a much better budget figure, and it shows the vehicle class the party needs on every leg. If the luggage grows during the trip, the departure leg may need a larger class than the arrival.
What has to wait until the hotel is confirmed
Only one thing really has to wait, but it is the important one: paying for any journey whose pickup or destination is the undecided hotel.
The reason is straightforward. After payment, the only change you can request online is a new pickup time. The pickup place, destination, number of passengers and vehicle cannot be changed online. A different hotel is a different destination, so it needs the booking team, or a new booking plus a cancellation request.
And cancellation carries a cost. Bookings are subject to our cancellation terms (free cancellation with a full refund up to 48 hours before pickup; inside 48 hours the deposit element of the price is kept) if the customer cancels. A full refund for the affected journey applies if we or the transport partner cancel, or cannot supply the journey and no suitable alternative is accepted. Put together, paying early for a guessed hotel risks paying twice. Waiting until the hotel is confirmed costs nothing, provided you leave enough time.
Changing hotel after booking an airport transfer
Plans do change, and sometimes the hotel moves after the transfer has been paid. If that happens:
- Do not cancel the transfer first. A customer cancellation is subject to our cancellation terms (free cancellation with a full refund up to 48 hours before pickup; inside 48 hours the deposit element of the price is kept).
- Contact the booking team with the booking reference, the old hotel, the new hotel’s full name and location, and the date. Ask whether the booking can be amended.
- Wait for a written answer before booking anything new.
The booking team can tell you what is possible for that journey. If the answer is that a new booking is needed, you will know before you pay for it, and you can decide with full information.
A change within the same hotel group can be deceptive. Two properties with similar names may be in different places, and our note on a hotel change within the same brand explains why the branch matters as much as the brand.
Hotel booking and transport are separate arrangements
It is worth being clear about who arranges what. The official Nusuk Umrah platform, supervised by the Ministry of Hajj and Umrah, presents packages that can include accommodation in Makkah and Madinah alongside other services such as flights and transportation, provided by accredited service providers. If your hotel comes as part of a package, check what transport that package already covers before booking separate transfers, so you do not pay for the same journey twice. If you book the hotel directly or through an agent, the hotel confirmation and the transfer booking are separate agreements, each with its own terms.
In either case, a Pilgrim Taxi booking does not reserve or confirm a hotel room, and a hotel reservation does not reserve a vehicle. Keep the two confirmations side by side, and check that the hotel name and dates on one match the destination and dates on the other.
How late can you leave it?
Online bookings need at least 48 hours’ notice before the pickup time. A search inside that window returns “This journey must be booked at least 48 hours in advance.”
In theory, then, a family could wait until a few days before arrival to book. In practice, leave a comfortable margin:
- After payment, the booking team updates the status, usually within 1 to 12 hours. You want time to see the word Confirmed well before travel.
- Hotel confirmations sometimes take longer than expected, especially when a package is being assembled.
- Travellers who are older, or not confident with phones, benefit from receiving their final pickup details several days before they fly.
A sensible target is to book each journey as soon as both its ends are confirmed: the flight for airport legs, and the hotel for the other end.
When an agent names the hotel late
Some packages confirm the exact hotel only shortly before travel, with the earlier paperwork describing it as a category or “or similar”. It is worth planning for.
Ask the agent, early and in writing, when the named hotel will be confirmed. If the answer is close to the travel date, work back from the 48-hour minimum: the hotel name needs to arrive in time for you to search, pay and see the status change to Confirmed before the travellers leave home.
If the hotel is confirmed so late that the pickup is already inside the 48-hour window, the online booking will not accept it. In that case, use the contact page to explain the situation to the booking team rather than guessing a hotel to get a booking through. It also helps to agree with the agent which relative will receive the hotel confirmation, so it does not sit unread in one person’s inbox while another is waiting to book the transport.
Checking the hotel name against the map
When the hotel is confirmed, search for it by its full name and check the route summary. If you typed the name rather than choosing a popular location, make sure the pin sits on the right building. Hotel names can be similar, some properties have more than one entrance, and a pin a street away can change the route.

Worked example: the Khan family books in two stages
Amina Khan in London is arranging Umrah for her mother, Rukhsana, and her aunt, Parveen, both in their seventies. Flights are booked into Jeddah. The Makkah hotel is still being decided between two central properties, and the Madinah hotel is not yet chosen.
Stage one: estimates. Amina runs three searches for two adults with three large cases: Jeddah Airport to the Clock Royal Tower, Jeddah Airport to the Hilton Jabal Omar, and later a Makkah to Madinah search using the Madinah Hilton as a stand-in. She notes the vehicle classes offered and the prices, and labels each one “estimate, hotel not booked” in the family spreadsheet. She does not pay.
Stage two: the Makkah hotel is confirmed. Two weeks later, the Makkah hotel is confirmed as a property near the Haram that is neither of her two stand-ins. Amina searches again with the real hotel, checks the pin, and sees a slightly different figure. She books the Jeddah Airport journey, with the flight number at checkout, and pays. A few hours later the status reads Confirmed.
Stage three: Madinah waits. The Madinah hotel is still undecided. Amina does not book the Makkah to Madinah journey yet, even though she has a good estimate. When the Madinah hotel is confirmed, she will search again and book, well over 48 hours before the travel day.
A late change. Before the Madinah booking is made, her aunt asks to move to a different Makkah hotel. Amina does not cancel. She contacts the booking team with the booking reference and the new hotel’s details, and waits for a written reply before doing anything else.
Sharing an estimate without it becoming a “booking”
The biggest risk with early estimates is not the figure. It is a relative reading “the taxi is sorted” when nothing has been booked.
A few habits help. Label every estimate with the word “estimate” and the stand-in hotel it was based on. Keep a separate line for each journey showing its status in plain words, and only write “booked” once the status reads Confirmed. If someone else is paying, the basket can email a secure review link so they can check the journey before one person pays. Checklist: planning Umrah transport with an unconfirmed hotel
- List every journey you will need, with its two ends.
- Count the party and luggage, and add any child seats or wheelchair requirement.
- For each journey involving an undecided hotel, search with a representative hotel in the expected area.
- Label each result “estimate” with the stand-in hotel’s name.
- Book airport journeys only once both the flight and the hotel at the other end are confirmed.
- When the hotel is confirmed, search again with its full name and check the pin on the route summary.
- Check whether any hotel package already includes transport before booking separately.
- Pay at least 48 hours before pickup, leaving time for the status to read Confirmed.
- If a hotel changes after payment, contact the booking team before cancelling anything.
- Keep the hotel confirmation and the transfer confirmation together and check that they match.
