For a hotel collection, use the confirmed property address. Someone outside the family should be able to understand the intended journey without asking which earlier message you mean.
Do not hide an undecided detail behind a guessed value. Mark it as provisional and use the appropriate enquiry route if a booking form requires information you do not yet have.
Check the people and the practical requirements
Count the travellers and luggage separately. Include relevant bulky items and describe any assistance requirement clearly. Distinguish what is essential from what is preferred, then look for explicit confirmation when the request is assessed.

Send one coherent version
Gather the current details into a concise request and remove outdated alternatives from that message. Keep background information separate from the facts that need assessment. A long thread containing several possible hotels is less useful than a clear statement of the destination now intended.
After sending, record the status accurately. A submitted request is not yet a confirmed journey. Review the response for the specific requirements and ask about anything unanswered before treating the plan as agreed.
This final check is deliberately modest. It does not replace the provider’s booking process or establish an entitlement to a service. It gives that process a clear, accurate starting point, making it easier for the family to understand the offer and for the resulting confirmation to describe the journey they actually want.
